How XXXXXX handles your personal data, in plain language.
Courtesy translation. If there is any difference, the Dutch text prevails.
1. Who is responsible?
XXXXXX, XXXXXX (straat, postcode, plaats), KvK XXXXXX, is responsible for the processing of personal data through this network (website and app). Questions or requests? Email info@XXXXXX.
2. Which data do we process and why?
Below you can see per item what we process, for what purpose and on what legal basis.
- Members (account and profile): name, company name, legal form, address, telephone number, email address, KvK and VAT number, fields of expertise, working area, availability, travel distance, experience, certifications, introduction text and logo. Purpose: performing the membership and matching members with assignments. Legal basis: performance of the agreement.
- Login and security: an encrypted (hashed) form of your password, sessions, login tokens for the app and, if you use two-step verification, an encrypted secret and hashed recovery codes. Purpose: securing your account. Legal basis: legitimate interest (security).
- Assignments, replies and messages between members. Purpose: handling assignments. Legal basis: performance of the agreement.
- Ratings and the "KvK verified" label. Purpose: trust within the network. Legal basis: legitimate interest.
- Notifications: your email address and, if you use the app, a push token of your phone. Purpose: keeping you informed about assignments and requests according to your own preferences. Legal basis: performance of the agreement; for push notifications consent, which you can withdraw in your phone and in your notification settings.
- Requests from clients (help form): company name, contact person, email address, telephone number, place or province, description and preferred language. Purpose: passing the question on to suitable IT professionals. Legal basis: your consent when submitting. Members first see an anonymous description; we share your contact details only with the member who will carry out the assignment.
- Contact: what you send us via the contact form or by email. Purpose: answering your question. Legal basis: legitimate interest.
- Recording your agreement to the terms: time, version and IP address. Purpose: being able to prove that you agreed. Legal basis: legitimate interest.
3. With whom do we share data?
With other members: only what is necessary for the network. Your address, telephone number, email address and KvK and VAT numbers are not visible to other members, unless you share them yourself in a message.
With service providers who work for us (processors), with whom we make arrangements about the protection of data:
- our hosting provider [fill in name and server location];
- our email provider for sending email [fill in name];
- Expo (push notifications to the app). Your push token and the short text of the notification then pass through Expo and Apple or Google. This may involve processing outside the EU; we then rely on appropriate safeguards such as standard contractual clauses;
- a public address register (PDOK) to check an address when it is entered. We only send postcode and house number for this.
We do not sell personal data and do not use it for advertising by third parties. We provide data to third parties if this is required by law.
4. How long do we keep data?
- Member data: for as long as you are a member. After your account is deleted we erase or anonymise it, except what we still have to keep by law or to establish a dispute.
- Requests from clients: up to [12] months after completion, then deleted.
- Push tokens: until you log out, switch off the notification or the token becomes invalid.
- Sent emails in the queue and expired login codes: briefly, then cleaned up automatically.
- The recorded agreement to the terms: as long as your account exists and [2] years after that.
5. Your rights
You may ask us for access to your data, for correction, deletion, restriction of processing and for transfer of your data. You can object to processing based on legitimate interest and always withdraw consent you have given. Email info@XXXXXX; we respond within a month. We may ask for proof of identity.
Do you disagree with how we handle your data? Please contact us first. You can also file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl).
6. Security
We protect data with appropriate measures: encrypted connections (HTTPS), hashed passwords, optional two-step verification, encrypted storage of two-step secrets and restricted access. Notice anything suspicious or a data breach? Report it immediately to info@XXXXXX. Where necessary we report data breaches to the Dutch Data Protection Authority and the people concerned.
7. Cookies and local storage
We only use functional cookies (to keep you logged in) and, in the app, secure storage for your login token. We do not use tracking or advertising cookies and no analytics tools that follow you.
8. No automated decisions
A suggested match between a request and members is a tool. A person assesses and decides. No decisions with legal consequences are taken solely by automated means.
9. As a member you receive data from clients
If you receive a client's contact details through the network, you are yourself responsible for them under the GDPR. Use them only for that assignment and do not keep them longer than necessary.
10. Changes
We may amend this statement. The current version is always on this page, with the date of the last change. Version: 2026.1. The Dutch text prevails if there is any difference.
